REIMBURSEMENT GUIDELINES

PhD students registered in the Doctoral Program in Microbial Sciences, as well as speakers, teachers, and organizers of program activities, are eligible to request reimbursement. Please note that postdocs may attend activities but are not eligible for reimbursement.

To request reimbursement, complete the Reimbursement Form (for participants or interveners), sign it, and attach all original receipts. Scan the documents and send them by post to:

Covered Expenses
For PhD students:

• Travel: Reimbursed at the cost of a half-fare 2nd class train ticket from your university to the activity location (AG holders also eligible).
• Accommodation: Up to CHF 90 per night (breakfast included).
• Meals: Only collective meals organized as part of the activity (e.g., lunch or dinner).

Activities not organized by the program (such as external conferences) are not reimbursed.

For speakers and organizers:

• Travel: Economy flight or 1st class train for trips abroad; half-fare 1st class train within Switzerland. Taxi and parking are not reimbursed.
• Accommodation: Up to CHF 190 per night (breakfast included).
• Meals: Up to CHF 40 per meal.

Operating costs may include consumable materials (not durable equipment).
 

IMPORTANT RULES FOR REIMBURSEMENTS

• Sign the participant list during the activity (no signature, no reimbursement).
• Original receipts are required (except train tickets).
• Do not pay with institutional credit cards.
• Maximum amounts apply.
